The operational backbonefor service businesses

Your business runs on a dozen tools that don't talk to each other — your phone system, your CRM, your scheduling, your billing. I connect them, automate the busywork between them, and keep the whole thing running so nothing falls through the cracks.

Built for HVAC, electrical, plumbing, and the trades next door — and engineered to actually hold up.

The problem

The money leaks in the seams

When your tools don't talk to each other, the work between them becomes someone's memory — and memory drops things. Here's where it usually costs you.

Missed calls

A call goes to voicemail at 4:45 on a Friday. Nobody calls back. Your competitor picks up — and the job is theirs.

Double-booked crews

Two techs dispatched to the same slot, or a truck rolling 40 minutes the wrong way because the schedule and the CRM never agreed.

Lost requests

A web form, a text, a voicemail, a note on a sticky pad. Four inboxes, no single list, and the request that pays best slips through.

No documentation trail

The job is done, but the photos and the report an insurer needs are scattered across three phones — so the claim drags and you eat the cost.

Who this is for

If your business dispatches people or handles cases — juggling customers, jobs, crews, status, and documentation across a patchwork of purchased tools — this is built for you. I lead with:

What I do

Connect it. Automate it. Keep it running.

I don't sell you another tool to log into. I make the ones you already pay for work together — and I own the result, so “nothing falls through the cracks” is a promise, not a slogan.

Connect your tools

Your phone system, scheduling, CRM, and billing were never built to talk to each other. I make them talk — so a booking, a job, and an invoice are one thread instead of four.

Automate the busywork

Intake and triage, appointment reminders, post-job follow-up, review requests, and the photo-and-report capture insurers want — handled automatically, the same way every time.

Keep it running

When an upstream tool changes its API, your automation breaks. I monitor it, fix it before it costs you a job, and show you what I caught — so it's already handled, not a 2am surprise.

How we work together

Set it up. Then keep it solid.

Two layers: a one-time project to build the backbone, and a monthly service that keeps it holding up. Priced for the value and the risk it carries — not by the hour.

One-time project

Operations Backbone Setup

Discovery, setup, integration, and careful data onboarding. We map how work actually moves through your shop, connect the tools, and automate the handoffs that used to live in someone's head.

  • Ops audit & integration plan
  • Tool-to-tool connections
  • Busywork automated
  • Your data onboarded cleanly

Managed Operations

The integration willbreak when an upstream tool changes — that's not an if. With managed operations you're already covered: I monitor, fix, support, and improve, and I show you the catches.

  • Monitored integrations & uptime
  • Upstream-breakage fixes — handled
  • Support when you need it
  • A monthly note: here’s what I caught

Why me, why now

Anyone can build a demo. The hard part is making it not break.

These days anyone can wire up a clever automation in an afternoon. It works — right up until an upstream API changes. Then it's a silent failure with no owner, and you find out when a customer does. I've spent 15 years building systems that businesses depend on, with the old-school discipline that keeps them standing. That discipline isn't a boring add-on. It's the whole product.

  • Release discipline — changes ship tested and reversible, not hot-patched live
  • Schema evolution — your data stays consistent as tools and fields change
  • Monitored integrations — every connection is watched, with alerts before you feel it
  • Compliance-grade data accuracy — the record an insurer or auditor asks for is right
  • Test scaffolding — the seams are covered so a small change never quietly breaks a big one

Proof

Built, owned, and still running

Not slides — systems I designed and built end to end.

Cass Information Systems

Led a small team to build the internal expense-management platform that the business ran on — tickets, vendors, clients, sites, equipment, and invoices, all in one connected system.

The operational backbone, end to end: disparate records and manual handoffs turned into one reliable system of record.

Kwicklights

Built the operations for a field-service business: shared cross-crew scheduling, inbound and outbound SMS and telephony, and pre- and post-appointment automation — plus job, photo, and report capture for insurance documentation.

Automated appointment comms that drove reviews and caught problems early, and turned a failure-prone documentation job into minutes.

Currently engaged with a community-management operation, syncing their systems and streamlining intake and triage. References available on request.

How it works

From first call to handled

A straightforward path, with you in the loop the whole way.

01

20-minute ops audit

We get on a call. You walk me through how a job moves from first contact to paid — and we find where it leaks.

02

Connect & build

I integrate the tools you already pay for and automate the busywork between them, with your data onboarded carefully.

03

Monitor & maintain

I watch the integrations, fix upstream breakages before they reach you, and send a monthly note of what I caught.

04

Improve over time

As your shop grows, the backbone grows with it — new connectors and refinements, without ripping anything out.

CirrusSolves

Who you'll work with

One person, accountable for the whole thing

I'm the systems-and-integration person behind CirrusSolves. For 15 years I've built and maintained the operational backbone for businesses drowning in disparate tools — from enterprise platforms handling people, money, vendors, and equipment, to the day-to-day operations of a field-service shop.

When you work with me, you're not handed off to a junior or a ticket queue. You get the person who designed the system, answering the phone and owning the outcome. That's the advantage of working local and working small — and it's the whole point.
